Read and reply to prospect responses to your CiteForge outreach, threaded by conversation.
The Inbox collects replies to the outreach emails you send from CiteForge. Each reply is grouped into a conversation thread alongside the message you sent, so you can read and respond without leaving the platform.
When you send an outreach email, CiteForge attaches a reply address that routes the prospect's response back here automatically. You don't need to set anything up per email.
Finding a conversation
The left column lists your conversations, most recent activity first. Each row shows the contact's email, the subject, and how long ago the last message arrived. Unread conversations are bold with a filled mail icon.
Three controls narrow the list:
- Open / Archived tabs — Open shows active conversations; Archived shows ones you've set aside. The Open tab carries a badge with your unread count.
- Search — filter by subject line or contact email.
- Unread only — a checkbox that hides conversations you've already read.
Reading a thread
Click a conversation to open it on the right. Messages appear as a chain: the ones you sent are aligned to the right, the prospect's replies to the left. Each message shows the sender and a timestamp.
If a send failed to deliver, the message carries a red failed marker.
Opening an unread conversation marks it as read and updates the unread count.
Quoted history
Email clients often append the previous message (On <date>, X wrote:…) below each reply. CiteForge hides that quoted history by default to keep the thread readable. If you need to see it, use the Show quoted text button under the message.

If the conversation is tied to a citation opportunity, the thread header links to the source URL. Use it to jump to the page you're trying to earn a citation on.
Replying
The reply box sits at the bottom of an open conversation. Write your response in the editor and click Send reply. The reply is added to the thread and sent from the same address the prospect already knows.
The Send button stays disabled until there's text in the box. If the conversation has no contact email on file, you won't be able to reply.
Archiving
Use Archive in the thread header to move a finished conversation out of the Open list. It moves to the Archived tab, where Unarchive brings it back. Archiving doesn't delete anything — the full message history stays intact.
Unmatched outreach replies
Sometimes a reply reaches your outreach address but CiteForge can't tie it to a specific conversation — for example, the prospect replied from a different address, or changed the subject line. These land in the Unmatched outreach replies panel at the top of the Inbox.
Each unmatched reply shows the sender, subject, and a short preview. You have two options:
- Assign — open the search box, pick the conversation it belongs to, and CiteForge files the reply into that thread. Candidate conversations are ordered to put the same sender, then the same email domain, at the top.
- Dismiss — remove a reply that's spam or irrelevant. Use the trash icon.
The panel only appears when there are unmatched replies waiting. Clearing them keeps your threads accurate.
If you have no conversations yet
Replies only appear here after you've sent outreach. Draft and send outreach emails from the Opportunities page first — see Opportunities and Action. Once a prospect responds, the conversation shows up in the Open tab.
